Customer win-back message template
You get a short, warm message for past customers who have not booked in a while, plus two variations to test. It takes about 10 minutes with the free version of ChatGPT. You describe the customer group, paste one prompt, and send it from your own phone or email.

What you need
- A free ChatGPT account
- A description of who you want to win back, such as customers not seen in 3 months
- One real reason to come back, such as new hours or a seasonal service
Copy this prompt
You run a small [type of business]. Write a short message (under 60 words) to a past customer who has not booked in about [number] months. Sound warm and personal, not pushy. Use the placeholder [Name]. The reason to come back is: [one real reason or offer]. End with one easy next step, such as replying to book. Do not invent discounts, deadlines, or details about the customer. Write 3 versions: friendly, short, and one that asks how they have been.
Steps
- Decide who to message and what real reason you can give them to come back.
- Open ChatGPT, paste the prompt above, and fill in the [brackets] except [Name].
- Pick the version that sounds most like you and edit it.
- Send to 5 customers first and see who replies before sending more.
Test it yourself (10 minutes)
- Make up a hair salon and customers not seen in 3 months, with one real reason such as a new stylist.
- Run the prompt and check that none of the 3 versions invent a discount or deadline.
- Read each aloud as a customer. Which feels warm and which feels pushy?
- Note what you changed. It shows what tone works best.
Check this yourself
- The offer or reason in the message is real and you can honor it.
- The message has no false deadline or pressure.
- You are allowed to message these customers by email or text.
- It sounds like you.
Mistakes and limits
- AI may promise a discount you did not offer. Use only the offer you give it.
- Do not paste customers' names, numbers, or emails. Fill in [Name] when you send.
- Check local rules before sending marketing texts or emails to customers.
Variations
- Ask for a text version under 160 characters.
- Ask for a version without any offer, only a friendly check-in.
