You get a friendly, personal reply for each customer review that you can paste into Google, Yelp, or Facebook. It takes about 10 minutes for 20 reviews with the free version of ChatGPT. You paste one prompt, add each review, and edit the reply before posting.

What you need
- A free ChatGPT account
- Your customer reviews, copied as text
- One line describing how you like to talk to customers
Copy this prompt
You are the owner of a small [type of business]. Reply to this customer review in 2 to 3 friendly sentences. Thank them by name, mention one specific detail they liked, and do not promise anything (no refunds, discounts, or dates). If the review is negative, apologize once, stay calm, and invite them to contact us directly. Review: [paste review here]
Steps
- Open ChatGPT and paste the prompt above. Replace the words in [brackets].
- Paste one review where it says “Review”. Read the reply.
- Happy with the tone? Paste the next review in the same chat. Say “same style” if it drifts.
- Edit each reply before you post it.
Test it yourself (10 minutes)
- Make up 3 reviews: one happy, one mixed, one angry.
- Run the prompt on each and check that the angry one gets no refund or fix promised.
- Note what you changed. It shows you which parts of an AI reply to check first next time.
Check this yourself
- Names and details match what the customer actually wrote.
- The reply does not promise a discount, refund, or fix you did not agree to.
- It sounds like you. Change any line that does not.
Mistakes and limits
- AI may invent details that are not in the review.
- Never paste customers' phone numbers or addresses into any AI tool.
Variations
- For a negative review, add: "Offer to continue by phone, and do not admit fault."
- For a long review, add: "Keep it under 40 words."
