Appointment reminder message template
You get three short messages for each booking: a confirmation, a reminder the day before, and a friendly reschedule note. It takes about 8 minutes with the free version of ChatGPT. You fill in your business details once, paste the prompt, and save the results in your phone or booking tool.

What you need
- A free ChatGPT account
- Your business name, address, and cancellation rule
- The way you message customers: text, email, or both
Copy this prompt
You are the owner of a small [type of business]. Write 3 short messages I can reuse for every appointment: 1) a booking confirmation, 2) a reminder 24 hours before, 3) a friendly note for customers who need to reschedule. Each under 40 words. Use these placeholders: [Name], [Date], [Time], [Service]. Business address: [address]. Cancellation rule: [your rule, in one sentence]. Do not invent fees, discounts, or extra rules.
Steps
- Write your cancellation rule in one sentence. Keep it fair and simple.
- Open ChatGPT, paste the prompt above, and fill in the [brackets] except the four placeholders.
- Read the 3 messages. Ask “warmer” or “shorter” if needed.
- Save them as text shortcuts in your phone or in your booking tool, and fill in the placeholders per customer.
Test it yourself (10 minutes)
- Make up a hair salon with a rule of “free changes up to 24 hours before”.
- Run the prompt and check that no fee or extra rule was invented.
- Read each message aloud as if you were the customer. Does it feel polite, not pushy?
- Write what you changed. It shows you which parts of an AI reply to check first next time.
Check this yourself
- The cancellation rule matches your real policy.
- Placeholders like [Name] and [Time] are still in place so you can fill them in.
- The address and business name are correct.
- Each message is short enough to read at a glance.
Mistakes and limits
- AI may invent a cancellation fee or policy. Use only the rule you gave it.
- Do not paste customers' names or phone numbers. Use [Name] as a placeholder and fill it in when you send.
- Check local rules on texting customers, such as getting their consent first.
Variations
- Add: "Write these as 160-character texts" for SMS.
- Ask for a version in a second language your customers speak.
