Write a service quote with AI
You get a clear written quote for a service job, with what is included, what is not, the total, and how long it stays valid. It takes about 5 minutes with the free version of ChatGPT. You paste the job details and your rates, then check every number yourself.
Draft: we have not tested this recipe yet. Treat the steps as a starting point.
What you need
- A free ChatGPT account
- A short description of the job, from the customer or your notes
- Your hourly rate or price per item, typed as plain text
Copy this prompt
You are the owner of a small [type of service business]. Write a clear written quote for the job below. Use only my rates. List what is included, what is not included, the line prices, and the total. Add one sentence saying the quote is valid for [number] days. Keep it under 150 words and friendly. Do not invent services, discounts, or dates. Job: [describe the job] My rates: [hourly rate, price per item, minimum charge]
Steps
- Write the job in 2 or 3 plain sentences. Include size, location type, and any extras.
- Open ChatGPT, paste the prompt above, and fill in the [brackets].
- Read the quote. Ask “add a line for travel” or “make the scope clearer” if needed.
- Recalculate the total, fix anything wrong, then send it.
Test it yourself (10 minutes)
- Make up a cleaning business with rates of $40 per hour and a $80 minimum.
- Use the job: “3 bedroom apartment deep clean, 2 bathrooms, inside the oven, about 5 hours”.
- Check the total by hand. Note any number or service the AI got wrong or invented.
- Write what you changed. It shows you which parts of an AI reply to check first next time.
Check this yourself
- Every line price and the total are correct. Add them up yourself.
- It includes only services you actually offer.
- Travel, materials, and tax are covered or clearly left out.
- The valid-until date is one you can honor.
Mistakes and limits
- AI does the arithmetic badly. Recalculate every line and the total with a calculator.
- It may add services you did not offer. Delete anything you will not do.
- It cannot know your travel time, materials, or tax. Add them yourself.
Variations
- Ask for a good, better, best version with three price levels.
- Ask for a one-line version to send by text, with the full quote attached.
